1. Scope
This Privacy Policy applies to the SmartVerify public website, contact forms, account communications and the SmartVerify portal operated by MComm Technologies. It does not replace an agreement or privacy notice issued by an upstream provider or by a customer using SmartVerify in its own product.
2. Information you provide
You may provide contact details, organisation details, account credentials, service preferences, support information, billing references and verification request data. We ask you not to send unnecessary sensitive information through ordinary email or public forms.
3. Information collected automatically
Our systems may record IP address, browser and device information, timestamps, security events, page requests and cookie or session information needed to operate the website, prevent abuse and maintain reliability. We do not use this information to create a customer profile unrelated to the service.
4. Contact forms
Information submitted through the Contact Us form is used to respond to the enquiry, route it internally and maintain a reasonable business record. The form uses server-side validation, CSRF protection, a spam honeypot and header-injection safeguards. We do not sell contact-form information.
5. Verification processing
When an authorised customer submits a verification request, SmartVerify processes the request to provide the selected service, reserve and record credits, normalise the result, create a report where requested, and preserve the audit context required by the customer’s workflow. Some checks use VerifyNow as an upstream provider. The source provider may process information under its own terms.
6. Sharing and disclosures
We may share information with contracted infrastructure, email, payment, support or verification providers only when necessary to operate the requested service or meet a legal obligation. We may disclose information to authorities where legally required. We do not publish verification subject information or use it for unrelated advertising.
7. International processing
Some infrastructure or provider services may process information outside South Africa. Where this occurs, we assess the service boundary, contractual safeguards, security controls and applicable legal requirements. Customers remain responsible for assessing whether their use case requires additional cross-border notices or approvals.
8. Retention and deletion
Retention depends on the service, customer instructions, audit requirements, credit and billing records, dispute handling and law. Customers should define a retention schedule for their own verification subjects. Requests for deletion or access can be sent to admin@smartverify.co.za.
9. Security incidents
We maintain incident-handling procedures appropriate to the service and will assess and communicate material incidents in accordance with applicable law, contracts and the nature of the information affected.
10. Changes
We may update this policy when the website, service or law changes. The date at the top identifies the current version. Material changes will be communicated through an appropriate account or website notice.
