1. Who is responsible?
SmartVerify is a product of MComm Technologies. For website enquiries and SmartVerify account operations, MComm Technologies is the responsible party for the processing described in this notice. Contact us at admin@smartverify.co.za.
2. What information may be processed?
Depending on the interaction, this may include name, company, work email, phone number, account details, service selections, request references, audit events, billing records and verification subject information submitted by an authorised customer.
Verification subject information can include identity numbers, contact details, address context, company information, vehicle references or other fields required by a selected service. Do not submit information that is not needed for the declared purpose.
3. Why is it processed?
We process information to provide requested verification services, operate accounts, record approvals and audit events, prevent misuse, respond to support requests, manage credits and meet legal or contractual obligations. A customer must define and document its own lawful purpose for each verification journey.
4. Customer responsibility and operator instructions
When a customer uses SmartVerify for another person’s information, the customer is responsible for its role under POPIA, the notice given to the data subject, the lawful basis or justification, authority to request the check, consent where required, operator access and retention period. SmartVerify acts according to the configured service and customer instructions within the agreed service boundary.
5. Sources and service providers
Some verification results depend on upstream data providers, including VerifyNow where the selected service is connected to that provider. SmartVerify is not the owner of an upstream source’s records and cannot guarantee source availability, accuracy, completeness or response time. The applicable provider terms and privacy information may also apply.
6. Security and retention
SmartVerify uses access controls, secure transport, redaction, audit records, idempotency and controlled result handling as part of the service design. Information is retained only for the period required for the stated purpose, customer instructions, contractual records, dispute handling, fraud prevention or legal obligations. Exact retention periods may depend on the customer configuration and service agreement.
7. Data-subject rights
Subject to applicable law and lawful exceptions, a data subject may request access to personal information, correction of inaccurate information, deletion where appropriate, restriction or objection to processing, and information about automated or assisted decision-making. Requests should identify the relevant organisation and subject context so that we can route them safely.
8. How to contact us
Send privacy or data-subject requests to admin@smartverify.co.za. We may need to verify identity and authority before disclosing or changing information. If a concern is not resolved, a data subject may contact the Information Regulator of South Africa through its official channels.
